Rancang bangun sistem arsip digital berbasis WEB pada Kantor Pemerintah Desa Centini menggunakan model waterfall

Pengelolaan arsip secara konvensional di Kantor Pemerintah Desa Centini masih menimbulkan permasalahan, seperti keterbatasan ruang fisik arsip, lamanya proses pencarian arsip, dan resiko kerusakan arsip. Penelitian ini bertujuan untuk merancang dan membangun sistem arsip digital berbasis web guna meningkatkan efisiensi pengelolaan arsip dan pelayanan administrasi desa. Pengembangan sistem menggunakan model Waterfall yang meliputi tahapan requirements definition, system and software design, implementation and unit testing, integration and system testing, dan operation and maintenance. Pengumpulan data dilakukan melalui observasi serta wawancara dengan sekretaris dan kepala desa. Sistem dibangun menggunakan PHP dan MySQL serta dilengkapi fitur pengelolaan arsip, pencarian dokumen, dan manajemen pengguna. Pengujian dilakukan dengan metode Blackbox Testing dan System Usability Scale (SUS). Hasil Blackbox Testing menunjukkan bahwa sistem berjalan dengan baik dengan skor sebesar 92,86%, serta memperoleh nilai System Usability Scale (SUS) sebesar 82,19 yang termasuk dalam kategori Excellent berdasarkan penilaian seluruh pegawai Kantor Desa Centini yang berjumlah 8 responden. Sistem arsip digital ini mampu membantu perangkat desa dalam mengelola arsip secara lebih efektif dan efisien.

Conventional archive management at the Centini Village Government Office is still facing problems, such as limited physical archive space, lengthy archive search processes, and the risk of archive damage. Thisstudy aims to design and build a web-based digital archive system to improve the efficiency of archive management
and village administration services. System development using the Waterfall model which includes stages namely requirements definition, system and software design, implementation and unit testing, integration and system testing, and operation and maintenance. Data collection was conducted through observation and interviews
with the secretary and the head village. The system was built using PHP and MySQL and features archive management, document search, and user management. Testing was conducted using the Blackbox Testing And System Usability Scale (SUS). The results of Blackbox Testing shows that the system is
running well with a score of 92.86%, and obtained a value of System Usability Scale (SUS) of 82.19 which is included in the Excellent category Based on assessments by all eight respondents from the Centini Village Office, this digital archive system can help village officials manage archives more effectively and efficiently.

لا تزال إدارة الأرشيف التقليدية في مكتب حكومة قرية شِنتيني (Centini) تعاني من عدد من الإشكاليات، من أبرزها محدودية المساحة التخزينية، وبطء عملية استرجاع الوثائق، وارتفاع مخاطر تلف الأرشيف. ويهدف هذا البحث إلى تصميم وتطوير نظام أرشفة رقمية قائم على الويب؛ بهدف تحسين كفاءة إدارة الأرشيف ورفع جودة الخدمات الإدارية في القرية. تم تطوير النظام بالاعتماد على نموذج الشلال (Waterfall Model)، الذي يشتمل على مراحل: تحليل وتحديد المتطلبات، وتصميم النظام والبرمجيات، والتنفيذ واختبار الوحدات، والتكامل واختبار النظام، ثم التشغيل والصيانة. وجُمعت البيانات من خلال الملاحظة الميدانية والمقابلات مع سكرتير القرية ورئيسها. وقد جرى تنفيذ النظام باستخدام لغة PHP وقاعدة بيانات MySQL، مع توفير مجموعة من الوظائف الأساسية، من بينها إدارة الأرشيف الإلكتروني، واسترجاع الوثائق، وإدارة صلاحيات المستخدمين. أما عملية التحقق من صحة النظام فقد أُجريت باستخدام اختبار الصندوق الأسود (Black-box Testing) ومقياس قابلية الاستخدام (System Usability Scale – SUS). وأظهرت نتائج اختبار الصندوق الأسود أن النظام يعمل بصورة صحيحة، حيث بلغت نسبة النجاح 92.86%، كما حقق مقياس قابلية الاستخدام (SUS) درجة 82.19، وهي درجة تُصنَّف ضمن فئة الممتاز (Excellent)، وذلك استنادًا إلى تقييم جميع موظفي مكتب قرية شِنتيني البالغ عددهم ثمانية مشاركين. وتدل هذه النتائج على أن نظام الأرشفة الرقمية المقترح يُسهم بفاعلية في تحسين كفاءة إدارة الأرشيف ودعم الأداء الإداري للأجهزة القروية.
